Terms & Conditions

Please read these terms carefully before using our website or requesting private aviation charter services through Vantara Jet Air.

Last updated: 9 October 2026

These Terms and Conditions ("Terms") govern your access to and use of the Vantara Jet Air website at vantarajetair.com and your interactions with Vantara Jet Air in connection with private aviation charter enquiries and related coordination services.

In these Terms, "Vantara Jet Air", "Vantara", "we", "our" and "us" refer to the business operating the Vantara Jet Air brand. "You" and "your" refer to a person accessing our website, making an enquiry, or communicating with us.

By using this website or submitting an enquiry, you acknowledge that you have read these Terms. Where a separate written agreement applies to a particular service, the relevant agreement must also be reviewed and may govern that service.

Important: Vantara Jet Air acts as a charter intermediary. We coordinate enquiries with aviation operators; we do not represent ourselves as the operator of the aircraft. A website enquiry is not a confirmed flight booking.

1. About Vantara Jet Air

Vantara Jet Air facilitates the process of exploring private aviation charter options by collecting journey requirements, communicating with potentially suitable operators and coordinating relevant information between the customer and the parties involved.

Depending on the enquiry, this process may involve private jet charter, helicopter charter, corporate travel, group movements, one-way journeys, return trips, multi-city itineraries or other aviation requirements.

Our ability to assist depends on the nature of the request, operator availability, route feasibility, applicable permissions and other operational and commercial factors. We do not guarantee that an aircraft, route, schedule or particular service will be available.

2. Our Role and the Aviation Operator

Vantara acts as an intermediary coordinating charter enquiries. The actual flight is conducted by the selected aviation operator under its applicable authorisations, operating procedures and contractual arrangements.

The selected operator is responsible for the operation of the aircraft and the aviation functions assigned to it, including applicable aircraft, crew, flight safety, operational decisions and regulatory compliance.

Depending on the transaction, separate agreements may exist between the customer, Vantara and/or the selected operator. The applicable documents determine each party's respective rights and obligations.

Nothing on this website should be interpreted as a representation that Vantara owns, operates, maintains or directly controls any particular aircraft unless expressly stated in a valid written agreement.

3. Eligibility and Authority

You must be legally capable of entering into a binding agreement to make a booking or accept contractual obligations. If you submit an enquiry on behalf of a company, family, group or another person, you confirm that you are authorised to communicate the relevant requirements and, where applicable, act on their behalf.

If you are making arrangements for other passengers, you are responsible for communicating relevant itinerary information and ensuring that the passengers are informed of the applicable booking conditions and travel requirements.

4. Website Use

You agree to use this website lawfully and not to interfere with its operation, security or availability. You must not knowingly submit false information, impersonate another person, attempt unauthorised access to website systems, introduce malicious code or use the website for fraudulent or unlawful purposes.

Website content is provided for general informational purposes. Although we aim to keep information useful and accurate, routes, destinations, aircraft descriptions, photographs, availability and other published information may change and should not be treated as a confirmed offer for a specific flight.

5. Charter Enquiries

You may submit an enquiry through our website, email, telephone or another communication channel made available by Vantara. To help us assess your requirement, we may ask for information such as:

  • Departure and arrival locations.
  • Preferred travel date and departure time.
  • One-way, return or multi-city itinerary details.
  • Passenger numbers and relevant passenger requirements.
  • Baggage information and aircraft preferences.
  • Contact details and, where relevant, billing information.
  • Additional details necessary to assess the journey.

You agree to provide information that is accurate and sufficiently complete for the enquiry. Inaccurate or incomplete details may affect the suitability of proposed options, the quotation, availability or the ability to proceed with the requested arrangements.

Submitting an enquiry does not oblige Vantara or any operator to provide a quotation, reserve an aircraft or accept the proposed journey.

6. Quotations and Pricing

Charter quotations are prepared against the details of a particular proposed journey. Pricing may depend on aircraft category, route, flight time, aircraft positioning, travel dates, airport charges, handling, applicable taxes, crew requirements, permits, ground arrangements and other mission-specific factors.

Any indicative price, estimate or proposal is subject to the conditions stated with it. Unless expressly confirmed otherwise in writing, information displayed on the website is not a binding quotation for a particular flight.

A quotation may have a limited validity period and may be subject to aircraft availability and operator confirmation. Changes to the route, date, passenger count, baggage, schedule or other requirements may result in a revised quotation.

Before accepting a proposal, you should review the complete commercial terms, including the total amount payable, payment deadlines, applicable taxes, cancellation terms, additional charges and the identity of the contracting parties.

7. Booking Confirmation

An enquiry, telephone conversation, email exchange, preliminary proposal or displayed price does not by itself confirm a charter booking.

A booking becomes confirmed only after the applicable contractual and commercial requirements have been completed, including the required acceptance, operator confirmation, documentation and payment arrangements specified for that booking.

You should not assume that an aircraft is reserved or a departure time is guaranteed until the relevant confirmation has been communicated by the appropriate contracting party.

The specific booking confirmation and applicable operator terms will govern the confirmed itinerary and associated conditions.

8. Payments, Deposits and Charges

Payment arrangements vary by booking. The applicable quotation, invoice, booking confirmation or written agreement will identify the relevant payment recipient, amount, currency, due date and accepted payment method.

Where the customer is required to pay the aviation operator directly, that obligation must be fulfilled in accordance with the operator's payment terms. Where a separate amount is payable to Vantara for an agreed service, that amount must be paid according to the applicable invoice or agreement.

Do not assume that payment to one party automatically satisfies an amount owed to another party. Please verify the recipient, invoice and payment instructions before transferring funds.

Any applicable bank charges, payment-processing fees, taxes, foreign-exchange costs or other charges will be governed by the relevant quotation or agreement and applicable law.

A payment is not, on its own, a guarantee that a flight can operate regardless of later operational, regulatory or other circumstances. The relevant booking documents govern the consequences of any change or inability to operate.

9. Changes to Itineraries

Any request to change the departure time, route, travel date, passenger count, aircraft preference or another booking detail is subject to review and confirmation. Changes may affect aircraft availability, operating permissions, airport access and the total price.

We will communicate change requests to the relevant parties where coordination is within our agreed role. A requested change is not effective until confirmed by the appropriate party in accordance with the booking terms.

10. Cancellations, Refunds and No-Shows

Cancellation rights, deadlines, refund eligibility, cancellation charges, rescheduling conditions and no-show consequences depend on the specific booking agreement and the terms of the relevant operator or service provider.

Private charter arrangements may involve costs incurred before departure, including aircraft positioning, operational planning, handling or other committed services. Consequently, cancellation charges may vary according to the booking and the timing of the request.

If you wish to cancel or amend an arrangement, contact Vantara and the relevant contracting party as soon as possible. Do not assume that a cancellation is effective until it has been acknowledged in accordance with the applicable terms.

Vantara does not promise a particular refund amount or processing time unless that entitlement is specified in the applicable agreement or required by law. Any refund due will be handled according to the relevant contractual arrangements and applicable legal requirements.

11. Operational Changes and Disruptions

Aviation operations may be affected by weather, air traffic restrictions, airport closures, technical matters, crew availability, regulatory decisions, security requirements, permits and other circumstances outside a traveller's control.

The operating decisions concerning the flight are made by the relevant operator and authorised aviation personnel. A departure time, routing or aircraft may change where required by operational or regulatory circumstances.

Where appropriate and within our coordination role, Vantara may communicate relevant information and assist with discussions concerning alternatives. We cannot guarantee that an alternative aircraft, revised schedule, replacement flight or other solution will be available.

The rights and remedies available in the event of delay, cancellation, disruption or inability to operate are determined by the applicable booking documents and mandatory law.

12. Passenger Responsibilities

Passengers and the person making the booking are responsible for complying with applicable travel, security, customs, immigration and operator requirements. Depending on the journey, this may include:

  • Providing accurate passenger names and required information.
  • Carrying valid passports, visas and other required documents.
  • Arriving at the designated airport or meeting point at the instructed time.
  • Following crew instructions, security rules and operator policies.
  • Disclosing relevant baggage, equipment or special handling requirements.
  • Complying with restrictions on prohibited or regulated items.
  • Paying amounts due under the applicable booking terms.

Failure to meet passenger or documentation requirements may prevent travel or result in additional costs. The applicable operator and booking terms determine the consequences in each case.

13. International Travel and Permissions

International journeys may require visas, passports, customs and immigration clearance, overflight permissions, landing permits, airport approvals and other documentation or authorisations.

Requirements vary by nationality, route, jurisdiction, aircraft, operator and itinerary. Passengers are responsible for obtaining and carrying the personal travel documents required of them, while the relevant parties must address the operational permissions applicable to their responsibilities.

Vantara does not guarantee the issuance of a visa, permit, clearance or other governmental approval. Any assistance or coordination must be expressly agreed for the particular journey.

14. Baggage, Special Requests and Conduct

Baggage limits, prohibited items, pets, special equipment, accessibility arrangements and other passenger requests are subject to the selected aircraft's capabilities, operator policies, safety requirements and applicable law.

You should communicate special requirements before accepting a quotation or finalising a booking. A request should not be considered accepted unless it has been confirmed by the relevant party.

15. Third-Party Services and Websites

The charter process may involve independent aviation operators, airports, ground handlers, payment providers, accommodation providers or other third parties. Their services may be governed by separate terms, policies and contractual arrangements.

Links to external websites are provided for convenience where applicable. We do not control all external content, policies or services and encourage you to review the relevant third-party terms before proceeding.

16. Privacy and Personal Information

We may collect information that you provide through enquiry forms, email, telephone or other communication channels. This can include contact details, itinerary information, passenger requirements and information needed to coordinate a quotation or booking.

Information may be shared with relevant aviation operators and service providers to the extent reasonably necessary to assess or coordinate your request, subject to applicable law and our privacy practices.

Please avoid submitting sensitive personal information unless it is necessary and requested through an appropriate channel.

Our collection and handling of personal information are further described in our Privacy Policy.

17. Intellectual Property

Unless stated otherwise, website text, branding, graphics, layout, logos and other content associated with Vantara Jet Air are owned by or used with permission by the relevant rights holder.

You may view the website for personal or legitimate business information purposes. You must not reproduce, distribute, modify, commercially exploit or use website content in a manner that infringes applicable intellectual property rights without the necessary permission, except where permitted by law.

18. Disclaimers

The website and its general informational content are provided on an "as available" basis. To the extent permitted by law, we do not warrant that the website will always be uninterrupted, error-free or suitable for every particular purpose.

Destination guides, aircraft categories, example routes, photographs and other descriptive content are illustrative and do not confirm that a specific aircraft, airport, operator, schedule or service is available for your intended journey.

Nothing in these Terms excludes a guarantee, right or remedy that cannot lawfully be excluded under applicable law.

19. Limitation of Liability

To the extent permitted by applicable law, Vantara is not responsible for independent operational decisions made by an aviation operator or for acts or omissions of third-party providers outside Vantara's responsibilities under the applicable agreement.

Subject to applicable law and the relevant contractual arrangements, Vantara is not responsible for indirect or consequential losses arising from use of the website or a charter enquiry, where such exclusion is legally permitted.

Nothing in these Terms excludes or limits liability where exclusion or limitation is prohibited by law, including any liability that cannot legally be waived. The specific rights and responsibilities of the parties must be assessed under the agreements applicable to the relevant transaction.

20. Indemnity

To the extent permitted by law, you may be responsible for losses, claims or reasonable costs arising directly from your fraud, unlawful conduct, material misrepresentation or deliberate misuse of the website, or from your material breach of these Terms.

This section does not require you to indemnify any party for losses to the extent caused by that party's own negligence, wilful misconduct or other conduct for which an indemnity would be unenforceable under applicable law.

21. Force Majeure

To the extent permitted by law, a party may not be responsible for a failure or delay caused by circumstances beyond its reasonable control. Such circumstances may include severe weather, natural disasters, public emergencies, war, security events, government action, airport closures, airspace restrictions or widespread infrastructure disruption.

The effect of such circumstances on a particular booking, including any cancellation, refund or rescheduling rights, remains subject to the applicable booking agreement and mandatory law.

22. Complaints and Customer Support

If you have a question, concern or complaint relating to our website or coordination services, please contact us using the details below. Include your enquiry or booking reference, if available, and a clear description of the matter so we can direct it appropriately.

Where a concern relates to the operation of a flight, safety, crew conduct or an operator-controlled decision, it may also need to be raised with the relevant aviation operator or authority.

23. Changes to These Terms

We may update these Terms from time to time to reflect changes in our services, website, business practices or legal requirements. The updated version will be published on this page with a revised date where appropriate.

The terms applicable to a confirmed booking may also be set out in a separate agreement or booking document. An update to this webpage does not automatically rewrite a separate agreement already entered into; the applicable agreement and law determine the effect of any changes.

24. Severability and Waiver

If any provision of these Terms is found to be invalid or unenforceable, it will be interpreted or limited to the minimum extent necessary, where legally permissible. The remaining provisions will continue to apply to the extent they remain enforceable.

A failure to enforce a provision on one occasion does not necessarily waive the right to enforce that provision or another provision later.

25. Governing Law and Disputes

These Terms and any dispute relating to the website or services are subject to applicable law. The appropriate governing law, courts and dispute-resolution process should be confirmed in accordance with the legal identity, place of business and contractual arrangements of the entity operating Vantara Jet Air.

Nothing in this section removes any mandatory consumer protection or other legal right that applies to you.
